1. Find Your "Golden Hours"
Every pair of time zones has a "Golden Hour" windowโthe sweet spot where one team is finishing their day and the other is just starting. For example, London & New York overlap between 2 PM - 5 PM (LDN) and 9 AM - 12 PM (NYC).
2. The Shared Burden Rule
Sometimes, there is no perfect time. If you have a team in Tokyo and Toronto, the overlap is minimal. Don't make the same person stay up late every week. Rotate the inconvenience: Week A is late for Tokyo; Week B is early for Toronto.
3. Async First, Sync Second
Before booking a Zoom call, ask: "Could this be an email?" Use recorded video updates for status reports. Reserve "live" overlap time for crucial decision-making and bonding.
4. Respect the "Hard Stop"
If a meeting runs 5 minutes over in an office, itโs annoying. If it runs over when itโs 9 PM for your colleague, itโs disrespectful. End meetings 5 minutes early to allow for transition.
